How to Send a Message

Depending on the method used to access this screen, VSS customizes the fields of the message related to a specific billing document or statement, as well as the menu from which it is accessed. Thus, the fields available or pre-filled on the screen may vary.

  1. From the Vendor menu, select Send Us a Message.

  2. Enter the name of the contact person in the First Name, Middle Initial, and Last Name fields.

  3. Enter optional information about the contact person in the Title and/or International Phone Number fields.

  4. The Phone Number field pre-fills with the Vendor Profile phone number associated with the user and remains read-only.

  5. The Email Address field pre-fills with the email address associated with the user and remains read-only.

  6. The Registration Number field pre-fills with the vendor and remains read-only if the user is associated with a vendor.

  7. The Code field pre-fills with the vendor and remains read-only unless user is associated with more than one vendor code.

  8. The Address Code field pre-fills with the vendor and remains read-only unless user is associated with more than one vendor account.

  9. The DUNS+4 field pre-fills with the vendor and remains read-only.

  10. The Name field pre-fills with the vendor name and remains read-only unless user is associated with more than one vendor account.

  11. The User Id field pre-fills with the User ID and remains read-only.

  12. The Created Date field pre-fills with the system time and date, which remains read-only.

  13. Select the type of communication in the message from the Type of Correspondence field.

  14. The Communication Source field pre-fills with VSS and remains read-only.

  15. Enter the subject of the message in the Subject field, which is required.

  16. Enter the message (maximum length of 60,000 characters) in the Correspondence text box.

  17. Click the [Submit Message] button to validate and transmit the message.
